Attendance Adjustment Wizard: Individual

What is the Adjustment Wizard?

CourseKey has launched our new Adjustment Wizard to simplify the process of creating student attendance record adjustments. With a few simple selections the tool will help you correct your student’s awarded time, while avoiding complicated calculations.

In the attendance gradebook you’ll see that we’ve updated the individual student’s transaction page to include a summary of the total awarded time.

When a student checks-in and later checks-out we pair those events in to what we refer to as a ‘session’. At the top of the page is a summary of the check-in/check-out sessions that take into account any previous adjustments that have been made. Below the summary you can find the detailed report of all adjustments, but the summary provides a great representation of how much time has been awarded.

From this page you can adjust the time awarded for an individual student by clicking the Create Adjustment button.

 

Adjustment Options

Opening the Adjustment Wizard will present up to 5 different options.  

  • Edit Check in
  • Edit Check out
  • Award Full Time
  • Remove All Time
  • Override

Depending on when you are making the adjustment, and the details in the students transaction record, some options may be unavailable. (If it is not available the icon will change to grey). When the Wizard is open you’ll begin by answering a question:

If you select ‘Edit Check-in’ you’ll be presented with the follow up question:

When did the students arrive?

1) Start of Class
If the student has not checked in this option will create their first check-in for the day at the start of the attendance session.

If the student had already checked in after the start of class, an adjustment will be created to award them the additional time that elapsed between the start of the session and their recorded check-in time.

2) Now
Selecting this option will check the student in at the time of the adjustment. This is similar to utilizing the radio buttons and moving the student to the “in” column. If the student is already checked-in, no changes will be made.
3) Other

With this option you’ll be able to enter a custom time that the student arrived.
If the student has not checked in this option will create their first check-in for the day at the time indicated.

If the student had previously checked-in that day, you’ll be prompted to select an attendance session, or create a new check-in. Click the radio button next to the session you want to edit and enter the new time in the field provided. If you edit an existing check-in an adjustment will be created in the student’s attendance record for the amount of time that occurred between their original check-in and the selected check-in time (positive or negative).

If you select ‘Edit Check-out’ you’ll be presented with the follow up question: 

When did the student leave?

1) End of Class

This option is only available after the attendance session has ended. If the student is still checked in at that time, this will create a check-out at the end of the attendance session.

If the student had already checked out before the end of class an adjustment will be created that will award them the additional time that elapsed between the original recorded check-out time and the end of the attendance session.

2) Now
Selecting this option will check the student out at the time of the adjustment. This is similar to utilizing the radio buttons and moving the student to the “out” column. If the student is already checked-out, no changes will be made.
3) Other

With this option you’ll be able to enter a custom time that the student left class. If the student has checked in more than once during the attendance session, you will be prompted to click the radio buttons to select which check-in/check-out session you want to edit. If you edit an existing check-out an adjustment will be created in the student’s attendance record for the amount of time that occurred between their original check-out and the selected check-out time (positive or negative).

Award Full Time Award_Full_Time_Icon.PNG

Selecting this option will void any past records and award the student the total possible time available in the attendance session. Award Full Time is only available after the end of the attendance session.

Remove All Time Remove_All_Time_Icon.PNG

Selecting this option will remove any accrued time for the attendance session and move that data to the student’s voided records. For example, if an instructor accidentally checked-in a student on the Attendance List page they could later choose to Remove All Time to correct that mistake. Remove All Time is only available after the end of the attendance session.

Occasionally a student may need a more specific adjustment. After selecting ‘Override’, each of the recorded check-in and check-out sessions will be shown. Click on a time field or an empty field to enter a custom time. Click the trash can to remove an entire session, or click ‘Add New’ to create a new session.

Void Past Records and Adjustments

If a student has check-in/check-out data, selecting an adjustment to Award Full Time, Remove All Time or Override will void the student’s past records. Voided records are not included in students' awarded time, but are visible in the “Voided Records” section of the students' attendance record.

Override Check Out Policy

Schools with a mandatory check-out policy require students to check out of a session to be awarded time. After the instructor edit-window has ended, an administrator has the ability to make an exception to the policy and award the student time for that session. If an administrator selects to ‘Edit Check-Out’ or ‘Award Full Time’ a notification will be shown in the wizard to indicate the adjustment is overriding that policy, and the results will be shown in the student’s transaction record.

Preview Total Awarded Time

To help ensure that you’ve entered the correct adjustment, we’ve provided the option to Preview Total Awarded Time. This is available for individual adjustments of Edit Check-in, Edit Check-out, and Override. Simply click the button and we’ll calculate the adjustment and let you know how it will affect the student’s total awarded time for that attendance session.

Notes

An optional field is available to enter any notes that will be saved in the student's record. These will be visible to both staff and students.

Confirmation

After processing is complete, the wizard will indicate if an error occurred, and a description of the error will be shown. If you encounter a Network Connectivity issue, you can select to ‘Try Again’ on the confirmation page. If the adjustment was successful the Wizard will close and return to the student transaction record.
