Workspace: Enrollment

The Enrollment Workspace gives Cortex admins visibility into the final stages of the student enrollment process so they can intervene whenever needed to ensure that all students successfully enroll. It tracks students from Future Start to Active to help school staff better understand Day 1 success rates.

 

Accessing Enrollment Workspace

The Enrollment workspace - like any other workspace - is accessible by permissioned Admin users through the Workspaces button on the global navigation bar. Users will land on the Overview page by default. Contact your Customer Success Manager or submit a support request if access is missing or you would like to learn more.

Users with the following permissions will see a “Workspace” button added to the existing global navigation bar if the customer is set for:

    1. School is Cortex enabled
    2. User has view/edit Workspace permissions

(Overview) Reviewing the Summary Visualization

For the selected start date, view a quick snapshot of how many students have converted from Future Start to either Active or Canceled status

    1. Default start date: date picker/filter should default to most recent available valid start date, inclusive of today
    2. Statuses:
      1. Future Start - incoming students with an expected enrollment date.  
        1. When Nexus-integrated, the following Nexus statuses are automatically mapped to this CourseKey status: Future Start, NDS: Future Start
      2. Active - students that have successfully posted attendance.
        1. When Nexus-integrated, the following Nexus statuses are automatically mapped to this CourseKey status: Attending, NDS: Attending
      3. Cancel - students that have been marked as canceled.
        1. When Nexus-integrated, the following Nexus statuses are automatically mapped to this CourseKey status: Cancel, NDS: Cancel, No Show, NDS: No Show

      1. "Converted Students"
        1. = [(count 'Active' + count 'Canceled')/Total Students]
      2. “Total Students”
        1. = (count 'Active' + count 'Canceled' + count 'Future Start')

(Overview) Student Breakdown Table

View the list of students that are scheduled to start on the selected start date:

    1. For each student, the following attributes will be available for display: 
      1. Name
      2. Program
      3. Last Activity Recorded
      4. Status (CourseKey Enrollment Status)
      5. Lead Category and Lead Sources (from SIS where applicable)
    2. Users will be able to filter the Student Breakdown table by Status (Future Start, Active, Canceled)
      1. Additionally, the table is reactive to the global filters at the top of the Overview page
    3. As well, users will be able to export the list of results as a CSV file

(Overview) Filtering the Overview

By making selections through the filter drop-downs, users will be able to compare Day 1 success rates between various cohorts of interest. The following filter options will be available for the initial release:

    1. Start Date - Users are able to select one valid start date at a time
      1. Note: Start Date ranges are unsupported on Overview, so users seeking historical data trends can/should do so via Enrollment Insights
    2. Campus
    3. Program
    4. Lead Source
    5. Lead Category

Accessing Insights

Users will be able to review a number of insights that help them better understand how Day 1 show rates are tracking over time, and by cohorts

  1. Templated Enrollment Insights available for the June phase will include:
    1. Enrollment Status Over Time visualization
    2. Enrollment by Program visualization (requires Nexus integration or other Programs data source)
    3. Delayed Start Dates visualization
    4. Initial app logins visualization
    5. Pipeline Conversion trend visualization (requires Nexus integration)
    6. Successful Enrollments report
    7. Canceled Enrollments report

Setting Up Automations

Users can set up automations to help track who showed up  for (or missed) Day 1 and quickly prioritize relevant outreach activities:

  1. Day 1 Attendance Reminder
  2. Day 1 Attendance Missed
  3. Day 1 Attendance Congratulations
